1.0 Ad Hoc Reporting Criteria Screens and Generic Screen Titles
The four basic types of Ad Hoc reports are: Quick Look, Milestone, Source Data and Non-
Formatted.
2.0 Ad Hoc Report Development and Generation
Many of the Ad Hoc report menus, screens, functions, and features are standard, regardless
of what type of report you have developed. Ad Hoc reports that are created by the user
defining information in five basic steps are: report format (format identification), data of
reporting interest (selection), how the data on the printed report should appear (output), the
way the data should be sorted on the report (sorting), and how the Ad Hoc report should be
processed by the National Computer Center (NCC) computer (job control).
Development, editing, submittal, and other Ad Hoc management activities are performed
through the use of on-line screens. The complex computer processing required to support the
development of user-defined reports, are processed in batch mode. Batch processing is a
means by which computers execute instructions and perform activities in an efficient,
cost effective manner without disrupting the computer's real time, or on-line, activities. Batch
processing is performed at some point between the moment the processing request is
submitted and the end of that day's NCC batch processing cycle, which typically occurs during
the evening hours of that day the request has been submitted. The sequence in which an Ad
Hoc report is processed depends on a number of factors including: the priority and time
allocated by the user to do the job, and the volume of processing requests that NCC receives
that day. Ad Hoc batch processing is discussed in more detail in Section 2.7.1.7.
2.1 Error Messages
AFS provides error messages in response to attempt at performing invalid activities or entering
invalid data. All AFS on-line error messages are presented at the top of the screen. For
example, an error message was encountered when attempting to enter an invalid character in
the 'Menu Selection' field of the ADHOC Report Function Menu shown in Figure 2-1.

2.2
The Ad Hoc Criteria Set
The five steps (format identification, selection, output, sorting, and job control) for the creation
of Ad Hoc reports are collectively called the 'Criteria Set'. Simply put, the criteria set in the
directions supplied by the user, defining which data are wanted and how the data should be
presented. Each criteria set can be saved by the user and stored in a user criteria set library,
allowing users to readily retrieve the criteria set. Users can submit often-used reports with little
or no modification, without the need to define the report each time it is run. Every Ad Hoc
Report includes a 'leader page', which details the various specifications comprising the reports
selection criteria.
2.3 Accessing Ad Hoc and Confidential Data
The Ad Hoc report is accessed through the use of the AFS Main Menu, and by selecting
option 3, entitled 'Select A Report' shown in Figure 2-2. After entering selection 3, you will
be asked to confirm the presentation of confidential data in your Ad Hoc report shown in Figure
2-3, if your user profile has confidential data access. This confidential setting will be in effect
for your entire on-li ne session, and will apply to those reports you have developed during that
session. By answering 'Y'(Yes) in the query window, you may print the data defined as
confidential on your Ad Hoc report. Ad Hoc reports containing confidential data will
automatically display the notification 'Confidential Data To Be Included In Your
Retrievals' under the title of each report. If you answer 'N'(No) in the query window, the
notification is printed on the title line above the report text.

Function Keys
All Ad Hoc reporting menus, report development and criteria set management screens employ
function keys to assist users in the operation of each screen and in logging off of AFS.
Depending upon the screen, as many as six different function key operations are available.
Function key definitions are as fol lows:
PF1=INSERT
PF2=VALIDATE
PF3=END
PF4=MAIN MENU
PF5=TERMINATE
The PF1 key inserts a blank line on an output criteria screen, where the
cursor is positioned, and shifts all other output criteria statements down
one line. Users may enter new output criteria in the inserted line. If
a line(s) is left blank, press the key, and the output criteria
screen software will shift all output criteria statements up, so that no
blank lines are displayed.
The PF2 key validates the output criteria screen, displays the 'Column
Width' value associated with each report acronym, and displays the total
report width in the 'TOTAL WIDTH OF THE REPO RT IS:' fi eld.
The PF3 key returns the user to the preceding screen.
The PF4 key returns the user to the Main Menu.
The PF5 key termi nates the AFS session, returns the user to the
Production CICS menu screen.
PF6=PAGE UP
The PF6 key returns the user to the preceding page of a m ultiple page
screen.
The function keys available for each ADHOC Screen are displayed at the bottom of each
screen. Function keys may differ, depending upon the type of system or terminal used to access
AFS. If for any reason you have a question regarding which keys or key combinations
used to translate the AFS standard function keys, contact your facility data system
administrator or any other knowledgeable personnel.

Once you have responded to the confidential data query window, you will automatically be
taken to the Report Selection Menu Screen, where you will select option 2, entitled 'Ad Hoc
Reports' shown in Figure 2-4.

The menu selection on the ADHOC Report Function Menu Screen shown in Figure 2-5,
directs you to a specific Ad Hoc function such as:
1. Update a Report Criteria Set - Create or edit a report criteria set.
2. Browse a Report Criteria Set - Read-only; review the contents of existing criteria
sets.
3. Delete a Report Criteria Set - Deletion of criteria sets.
4. Copy a Report Criteria Set - Copy a report criteria set to another user's ID; rename
existing criteria sets saved to your ID.
5. Submit a Report Criteria Set - Submittal of reports for processing.
To access any of these menu selections, type in the num ber of the selection and press the
key.

Error Messages
AFS provides error messages in response to the improper use of the ADHOC Report Function
Menu Screen. The error messages for this screen are presented below in alphabetical order.
INVALID OPTION, PLEASE TRY AGAIN - Issued in response to entering a character other than
1-5 in the 'Enter Menu Selection' field.
PLEASE ENTER A REPORT CRITERIA SET NAME - Issued in response to attempt at selecting
a menu option without entering a character name in the 'Enter a Criteria Set Name' field. You
can have as many as 8 characters for a criteria set name.
REQUESTED FUNCTION KEY NOT ALLOCATED - Issued in response to attempt at using a
PF key different than those allocated for this screen. PF keys that are valid for each screen are
isplayed at the bottom of each screen.
2.6 User Criteria Set Li brary
Reports such as: Quick Look, Milestone, Source Data and Non-Formatted report criteria sets are
created and saved by the user, which is automatically stored against the user's identification.
By maintaini ng this library, AFS wil I allow you to perform any five ADHOC Report Function Menu
activities, by indicating the selection and entering an existing criteria set name in the 'Enter A
Criteria Set Name' field.
By entering a '?' in the first position of the 'Enter a Criteria Set Name' field shown in Figure
2-6, press the key, and your criteria set librarywill be displayed in awindow box,
shown in Figure 2-7. This criteria set librarywill display in alphabetical. A maximum of 10
criteria set names will be displayed on each 'page' of the criteria set li brary. By pressing the
key, the next pages from the criteria set library will be displayed in order. The 'PF3' key
returns you to the 'Enter Menu Selection' field on the 'ADHOC Report Function Menu Screen'
shown in Figure 2-5.
By typing a criteria set name in the 'Name' field, press the key, and the system will
process the name in conjunction with the menu selection command entered in the 'Menu
Selection' on the ADHOC Function Menu.

2.7 Update A Report Criteria Set
To 'Update a report Criteria Set', select option 1, on the ADHOC Report Function Menu.
This selection is also used to create a new criteria set name or modify the one that already
exists.
2.7.1 Creating A New Report Criteria Set
When creating a 'New Report Criteria Set, AFS will automatically take you through the six
screens used for the creation of each Ad Hoc report:
• Format Identification
• Selection
• Output
• Sorting
• Job Control
• Save Criteria
By selecting option 1, a new criteria set name, on the ADHOC Report Function Menu, will
advise you that this new criteria set does not exist, and a window will appear stating that 'This
Criteria Set Does Not Exist; 'Do You Want To Add It? (Y/N)' shown in Figure 2-8. If you
answer'N'(No), the confirmation box will disappear and the cursor will return to the first
position of the 'Enter A Criteria Set Name' field, where you may enter a new criteria set name.
If you answer 'Y'(Yes), you will automatically be taken to the ADHOC Report Setup Screen
shown in Figure 2-9. For example, we will create a criteria set using the name 'QUICKONE'.

.1.1 ADHOC Report Setup Screen
The ADHOC Report Setup Screen is used to define the NINE available report format types you
would like to select for your report. An Ad Hoc Format Type is mandatory for both the screen
and the establishment of an Ad Hoc criteria set.
You may also use this screen to specify a report title, as well as the comments. The criteria
set name identified in the ADHOC Report Function Menu is automatically displayed in the
'Criteria Set Name' data field found at the top of the ADHOC Report Setup Screen.
The following data fields that are available in the ADHOC Report Setup Screen are:
Format Type
There are four basic types of Ad Hoc Reports in AFS such as: Quick Look, Milestone, Source
Data and Non-Formatted. There are four varieties of ADHOC reports, three types of Mi lestones,
one type of Source Data and Non-Formatted reports. Ad Hoc reports have a two character

format identifier such as Q1, M2, NF, etc.

allows you to specify columns of data that you want printed on the report.
Attachment 1 of this document is a sample Q1 report. The report criteria set

Double-spaced report; with a maximum width of 132 characters. The Q2 report
is identical to the Q1, with the exception of doubl e spacing. Attachment 2 of
this document is a sample Q2 report. The report criteria set appears on the
page prior to the report.
Single-spaced, page-break report; with a maximum width of 132 characters.
QB allows the user to insert a page break in the report. The QB report will page
break on the FIRST data element listed i n the sort criteria screen. For exam pie,
if the user prefers to have a report with a page break following the last record
for each county, and by entering 'CNTY' as the first sort criteria, your QB report
will page break after each county. Attachment 3 of this document is a sample
QB report. The report criteria set appears on the page prior to the report.
Double-spaced report; with a fixed width of 132 characters; user-defined with
a width of 118 characters. The QD allows more characters that can fit on
either a Q1 or Q2 report. The first line of the QD is automatically created and
contains a standard set of data elements including: State, County, Source
Name, Street Address, City Name, State Abbreviation, Air Program Code,
Operating Status, SIC Code, Source Classification Code (State/EPA), and
Source Compliance Status (State/EPA).
The second line of the QD report contains those data elements selected by the
user. The maximum width of the second line is 118 characters, since the
second line is indented 14 characters. Attachment4 of this document is a
sample QD report. The report criteria set appears on the page prior to the
report.

Description
The MQ is the combination of a Q1 and M1 report using the same criteria set.
Single-spaced Milestone Report; with a maximum width of 132 characters. The
M1 report produces a tally of the number of occurrences found in the data
element rows and columns specified in the report. Attachment 5 of this
document is a sample M1 report.
Double-spaced Milestone Report; with a maximum width of 132 characters.
The M2 report is identical to the M1 report with the exception that it produces
a double-spaced report. Attachment 6 of this document is a sample M2 report.

Source Data
Format
Identifier Description
SD: Source Data Report; single-spaced. The SD report allows users to retrieve all
data for a particular designated Com pliance facil ity or facil ities. Users may
specify the selection and output of all compliance data maintained in AFS for
one or more facilities, or particular subsets of plant data such as: point, actions,
comments, continuous emissions monitoring, and/or compliance history. The
output of data selected in the SD report is exactly the same as a fixed format
627 report. Attachment 7 of this document is a sample SD report.
Non-Formatted
Format
Identifier Description
NF: Non-Formatted Report. The NF report allows usens to develop aworkfile
containing up to 550 characters of data. The width of a NF dataset is
determined by adding the combined length of all sorting data elements to the
combined length of all report output data elements. Report output data
elements are entered in the same format as any Ad Hoc report such as: (Q1,
Q2, QD), and so on. A report format type is mandatory for the creation of an
Ad Hoc criteria set. The only place that the data are mandatory is on the Quick
Look Report Setup Screen.
A report format type is mandatory for the creation of an Ad Hoc criteria set, and the place where
the data are mandatory is on the ADHOC Report Setup Screen.
Title
The title appears at the top of the first page of the ADHOC Report Setup Screen where you can
specify any optional title that you v\ant for your Ad Hoc report.
For example, we will use the title, This Is A Sample Comment For The Ad Hoc User's Manual',
shown in Figure 2-9. Title data are not mandatory for the completion of the ADHOC Report
Setup Screen.
Comments
The comments may be used for notes pertaining to your Ad Hoc report. Report Comments
appear on the page prior to the Ad Hoc report itself. In addition to the report com ments, the
page prior to the report displays all Ad Hoc report criteria sets associated with your report as a
written record of how the report was designed and developed. Comment data are not mandatory
for the completion of the ADHOC Report Setup Screen.
For example, we will use the comment, 'This Report Is Being Created For The Ad Hoc And
Milestone Reporting Documentation', shown in Figure 2-9. These comments can also be seen in
Attachment 1 of this document. To enter data successfully on the ADHOC Report Setup Screen,
type in the report format type, any optional title, or comment data, and press the key.
Error Messages
AFS provides error messages in response to the improper use of the ADHOC Report Setup
Screen. The error messages for this screen are presented below in alphabetical order.
ENTER A VALID FORMAT TYPE: Q1 ,Q2,QD,QB,M1 ,M2,NF OR SD - Issued in response to
attempt at entering a blank or invalid Ad Hoc Report Format Type.

ENTER THE TITLE WITHOUT SINGLE QUOTATION MARKS - Issued in response to an
Ad Hoc Title containing either single quotation marks, an apostrophe, or both. Because a
limitation was found in the AFS ADABAS software, you cannot enter the single quotation marks
or an apostrophe together in your Ad Hoc Title.
REQUESTED FUNCTION KEY NOT ALLOCATED - Issued in response to attempt at using
a PF key different than those allocated for this screen. PF keys that are valid for each
screen are displayed at the bottom of each screen.
2.7.1.2 ADHOC Report Selection Criteria Screen
Once you have entered the report format type of your c hoice (and any optional titl e or comment
data) on the ADHOC Report Setup Screen, you will automatically be taken to the ADHOC
Report Selection Criteria Screen shown in Figure 2-10. On this screen you will define the
overall profile of plants about which you will be reporting. The selection screen is not where you
will define the data elements that will appear on your report itself; rather it is where you will
specify the common data values that all plants must be included in your report retrieval. You
must fulfill the minimum data requirements of this screen to continue building your criteria set.
The criteria set name and title developed in previous screens are automatically displayed at the
top of the ADHOC Report Selection Screen. Data available for input on this screen are
elements; a condition statement, and a data element value. These three fields allow you to
identify specific data elements of interest and defines the values or value range that each
element must meet.

The following data fields that are available in the ADHOC Report Selection Criteria
Screen are:
Element
AFS contains many data elements, which are readily identifiable pieces of information such as:
plant name, pollutant code, estimated emissions volume, other emissions, and compliance items
of interest. In addition to the formal data element name, each AFS data element may also be
identified by a unique, four character acronym. Data element acronyms are the only way users
may identify data values in developing the ADHOC Report Selection Criteria Screen. There are
two lists of AFS acronyms presented in Appendix I. The fi rst list of acronyms are arranged
alphabetically by data element name within each record type, and the second list
presents the acronyms alphabetically by data element name, regardless of record type.

Data element acronyms are entered on the ADHOC Report Selection Screen under the column
'Element'. Upon accessing the screen, the cursor is automatically positioned at the uppermost
element line. Once an acronym is entered, the cursor will automatically go to the first position of
the 'Condition' field.
It is critically important to type the correct acronym on the element line. AFS supports the
tracking of similar data at different levels. One example of this is the ability to track pollutants
for a plant as a whole, as well as pollutants emitted from a location within the plant such as a
stack, point, or segment. Consequently, the acronym for a plant pollutant is different than stack,
point, and segment pollutant, each of which has its own unique acronym.
Suggested Data Elements
Certain data elements in AFS categorize plant data into groupings that are most useful in AFS
data reporting. For example, most users specify at least one geographic criteria for selection,
such as a region or state of interest, or some other element of interest such as: Year of
Emissions Inventory or Source Classification.
The software is activated by the data entered on the ADHOC Report Selection Criteria Screen
which initially seeks one of these major categorizing data elements. If a data element is not

If you answer 'Y'(Yes), the system will automatically provide the largest possible categorizing
specification. For example, 'REGN GT 00', which means the 'Region is greater than 00', places
the cursor on the first position of the following 'Element' field. This statement alone will select all
plants in the AFS database for the inclusion in your report, since there is a minimum of plants in
AFS that has an EPA Region Code that is greater than '00'. If you answer 'N'(No), you will be
returned to a blank ADHOC Report Selection Criteria Screen, where you may enter one of the
elements specified i n the advisory window shown in Figure 2-11.

Number of Selection Elements
The Ad Hoc report allows you to define up to 99 data elements with associated values for your
criteria set. You can have as many as ten data elements that may be specified on each 'page' of
the ADHOC Report Selection Criteria Screen shown in Figure 2-10. Once you have typed the
tenth data element on that page, press the key, and the system will automatically take
you back to another blank ADHOC Report Selection Criteria Screen, where you can add
additional data elements. When all ten lines are filled in, press the key, and the system
will automatically take you to additional blank selection screens until 99 data elements are
entered. If you press the key on any partially-filled Report Selection Criteria Screen, you
will be taken to the next screen of that criteria set, called the Report Output Elements Screen.
Sort Order
The order in which you present your Selection Criteria does not matter. Consequently, you can
enter a geographic selection value, which the software uses to categorize data for a retrieval in a
string of several selection elements. First, the Ad Hoc software sorts all selection elements,
develops a logical sequence for processing, and regardless of where you place an element on
the screen, it will be processed in its proper order.
Condition
For each data element of interest identified, you must specify the value or range of values the
data element must meet. To do this, first employ the 'Condition' field on the ADHOC Report
Selection Criteria Screen.
Condition statements might also be called 'equality' statements. They provide the Ad Hoc
Selection Programs with direction in retrieving the data based on the data's relative equality to a
stated value. For example, by specifying a plant state code 'GT' (greater than) '09', the selection
program will select only those plants located in states with codes greater than '09'. As more
selection criteria data elements are added, you will further define a body of plants that will meet
your standards of interest.
This is a list of condition values that are acceptable on the ADHOC Report Selection Criteria
Screen:
BL (Blank) 'BL' is used to specify the selection of data elements containing
blanks.
CE (Can Equal) 'CE' is used to formulate alternating logic statements, commonly
called 'Or' statements. For example, if you want to use data from states
with state codes of either '09' or '10', the condition statement should read
'STTE (state code) CE (can equal) 09', or 'STTE (state code) CE (can
equal) 10'.
GE (Greater Than 'GE' is used to select all values greater than or equal to
or Equal To) the value specified.
GT (GreaterThan) 'GT" is used to select all values exceeding the specified value.
LE (Less Than 'LE' is used to select all val ues less than or equal to the value
or Equal To) specified.
LT (Less Than) 'LT' is used to select all values less than the specified val ue.
ME (Must Equal) 'ME' will specify the data element which has a stated value.
NB (Not Blank) 'NB' is used to specify data elements containing any value,
including 0.

NE (Not Equal) 'NE' is used to select all data elements containing a value not
equal to the value specified.
SS (Sub-string 'SS' is used to select data elements containing a certain word
Search) or value in the first line of text. For example,'COM 1 SS TEST'
would select all plant level comments containing the word
'TEST' in the first line of the comment text.
For any condition statement other than BL or NB, the user must input a value against which to
compare it. All of the condition statements may be used for fields containing numeric values. If
the field is alphabetic or alphanumeric, AFS will allow you to apply any condition statements,
except the statements for GT, GE, LT, and LE. These statements GT, GE, LT, and LE will only
select the data fields containing numeric data.
Once the two positions have been entered in the 'Condition' field, the cursor will automatically go
to the first position in the 'Value' field.
Value
The 'Value' field is where you complete the ADHOC Report Selection Criteria Screen for each
data element, providing that the value against the data element is compared. The data element
is first identified by its acronym, and then by its condition statement.
Data elements, acronyms, and condition statements direct the system to compare data values in
a specified way. By entering a value of up to 20 characters, you can now give the Ad Hoc
software a guidepost against which to judge the data for the inclusion in the Ad Hoc Report.
The Ad Hoc Selection Criteria Software does not validate the values placed in the 'Value'
field. Consequently, users may specify a value that doesn't exist in the AFS database,
resulting in the retrieval of no data, since the selection software will not locate any data
that meets the given selection criteria.
Once a value has been entered in the 'Value' field, the cursor will automatically go to the first
position of the 'Element' field. The use of the TAB key can also be used to move the cursor
anywhere within the screen.

2.7.1.3 ADHOC Report Output Elements Screen
The process and screens used to develop the four basic types of Ad Hoc reports are: ADHOC,
Milestone, Source Data and Non-Formatted. The screens are the same with one exception: the
report output screens, most of which are different. Figure 2-12 is an example of an output
screen for a ADHOC and Non-Formatted type report.
It is on the report output screen that you specify which data elements you want printed on your
report, and how you want the data presented on this page. You must enter at least one output
data element to fulfill the minimum data input requirements of this screen.
The criteria set name and title developed in previous screens are automatically displayed at the
top of the ADHOC Report Output Elements Screen, regardless of the Report Output Screen
type.

Quick Look and Non-Formatted Output Screens
Data available for input on this screen are elements, element lengths, and as many as three
lines of report colum n headings. There are as many as ten lines of output elem ent specifications
that can be entered on any ADHOC Report Output Element Screen, with a maximum of 99

output elements per criteria set.
After entering the data element on the tenth line, press the key, and the system will
automatically present you with a blank Report Output Elements Screen, where you can continue
to enter output elements as long as you do not exceed the maximum report width.
The following data fields that are available in the ADHOC Report Output Elements Screen are:
Abbr
Both the identification and placement of report output data elements is performed in the ABBR
data field. By placing an acronym in this field, you can identify it as an element that will be
printed on your report. The placement of the acronyms, from top to bottom, on the ADHOC
Report Output Elements Screen determines how these same elements are presented from left to
right on your report.
When the fourth character of the ABBR field has been entered, the cursor will automatically go
to the first position of the field, called 'Element Length'.
Element Length
All AFS data elements have specified lengths. For example, the data element 'Plant Name' is
40 characters long, which means as many as 40 characters of data can be stored in AFS and
printed on an Ad Hoc Report. Non-Formatted type reports is the only type of report that does not
have a width limitation.
The 'Element Length' data field allows you to truncate data element lengths from their standard
values. By using the example above, and by entering a '20' in the 'Element Length' field, your
Ad Hoc report will only display the first 20 characters contained in that 'Plant Name'.
If you want the data element length to remain the same, do not place a value in the 'Element
Length' field, because the output software will automatically display the entire length for that
specific data element. Blank spaces that are contained within your data element will either be
displayed to the point of truncation or to the data element length, whichever data el ement length
format you select first.
You cannot expand the length of a data el ement by entering a longer width for that element, nor
can you truncate the width of an entirely numeric data element.
After entering the second character of the 'Element Length' field, the cursor will automatically go
to the first position of the field, called Header 1. The use of the TAB key can also be used to
move the cursor anywhere within the screen.
Column Width
This field displays the Column Width of each data element specified in the ADHOC Report
Output Elements Screen. The width of a column is determined by the following factors:
Standard data elements without truncation - means the column width is either the
length of the data element or, if the length of the column header is longer, the header
length, plus one space is inserted into separate columns.
Truncated data elements - means the column width is either the length of the
truncated data element or, if the length of the column header is longer, the header
length, plus one space is inserted into separate columns.
The column width is not a user input field. Column widths are generated and displayed through
one of two methods listed below:
After an acronym has been entered in the ABBR field, press the key, and the system will

automatically take you to the next screen. When you return to the ADHOC Report Output
Element Screen, the column width will be calculated and displayed in the field associated with
the specified acronym. This applies to those acronyms where no data element length is entered,
as well as those acronyms which truncating length values are input.
Before pressing the key, the use of the PF2 (VALIDATE) key will prompt the calculation
and will display the column width associated with the acronym. This applies to those acronyms
where no data element length is entered, as well as those acronyms which truncating length
values are input.
Total Width Of The Report Is:
As various types of column widths are calculated, there is also a running total of the overall
report widths being calculated and displayed. The 'TOTAL WIDTH OF THE REPORT IS:'
located beneath the report output fields shown in Figure 2-13. The total width of a report can be
calculated in two ways: 1) through the use of the key, and a return back to the ADHOC
Report Output Elements Screen, or 2) through the use of the PF2 (VALIDATE) key.
For example, if a report exceeds the maximum width, an error message will be displayed at the
top of the screen called The Requested Output List is Too Long. This message will advise you
that the output configuration exceeds the report maximum width. To alleviate this problem you
must either truncate your output elements to the point where their total width does not exceed
the report format maximum, or delete enough elements to meet the maximum requirement. For
more information about truncating a data element see the section on Element Width'.

Users have the option as to whether they want to use the acronyms listed under the ABBR field,
or the three header lines available on the 'ADHOC Report Output Elements Screen shown in
Figures 2-13.
A maximum often characters may be entered on each header line. The following three headers
that may be used are: HEADER 1 printed at the uppermost line, HEADER 2 printed as the
middle line, and HEADER 3 printed as the bottom line. When the last position of HEADER 3 is
filled in, the cursor will automatically go to the first character of ABBR field on the next line down.
Headers are justified in AFS by three ways: 1) a single header will be placed on the first line

above the column; 2) two headers will be placed on the first two lines above the column with the
first header on the uppermost li ne, and, 3) three headers will be placed above the column in the
top-middle-bottom order described above.
Figure 2-13 displays a three header line for the following ABBR acronym = PNME, where
HEADER 1 = 'AFS', HEADER 2 = 'PLANT', and HEADER 3 = 'NAME'.
In certain instances where the length of any header is greater than the standard or truncated
element length, the column width for that element will equal the header length + 1 space for
column separation.

Rows
The 'ROWS' of a data field are mandatory fields where you can identify the first of two data
elements to be counted in your Milestone report. By placing an acronym in the rows field, you
are telling the Milestone software to do two things: 1) list all the possible values for the acronym
as row headings, and, 2) count the number of times each row value occurs when compared with
the acronym and values specified for the Milestone report columns.
Since the report will present you with all the values acceptable for the 'ROWS' field, you must
use a data element that has at least one coded val ue. An example of this would be the use of
the AFS State ID Number, which has an acronym of 'STTE'.
The Milestone software would automatically list the row headings as the acceptable state
numbers of any state that is selected in the ADHOC Report Selection Criteria Screen. These
values would occur against the data elem ent values specifi ed in the 'COLUMNS' fi eld.
Consequently, the use of a data element in the 'ROWS' field that did not have those coded
values, such as a text or numeric data element, would not work, since there would never be a set
of values against which to count.
After you have been brought back to the ADHOC Report Output Elements - Milestone Screen,
the cursor wil I rest on the first character of the four-character 'Rows' field. A val id acronym must
be entered in this field or the system will give you an error message. After the fourth character
has been entered, the cursor will automatically go to the first position of the 'COLUMNS' field.
You do not need to specify the values for an acronym that has been placed in the 'ROWS' field,
because the Milestone software will automatically do thatfor you. On your report, the values will
be arrayed in ascending (A-Z, 000-highest number) order, depending upon the values available
in the data element.
In our sample Milestone report, the values found as row headings are printed on the report found
in AFS, and are all arrayed under the data element name for the acronym that you have entered
in the 'ROWS' field.
Columns
The 'COLUMNS' of a data field are mandatory fields where you can identify the second data
element used to count the number of data value occurrences. Similar to the 'ROWS' field, the
'COLUMNS' field identifies the data element and values that will be presented as headings.
Users may select specific data element values among those available for the columns element.
After an acronym has been entered in the 'ROWS' field, the cursor will move to the first
Character of the 'COLUMNS' field. You must enter a valid acronym in this field or the system
will give you an error message. After the fourth character has been entered, the cursor will
automatically go to the first position of the 'VALUES' field.
Values
As a minimum requirement, you m ust define at least one value for the colum n data element or
receive an error message. The Milestone software does not edit check the value entered. If you
do not entera valid column acronym, your Milestone report will be unable to count the data
element occurrences.
If the 'Columns' acronym is defined as numeric, the value must be right justified. Likewise, if the
'Columns' acronym is defined as alphanumeric, the value must be left justified.
After entering the fourth character of the 'COLUM NS' field, the cursor will go to the first character
of the upper-left 'VALUES' field. Values that are placed in the 'VALUES' field will define both the

column headings and the data element values that will be compared against the 'ROWS' values
counted by the Milestone software. After entering in the fourth character of a value field, the
cursor will either go to the right of the first character field, or go down one line to the left-most
value.
The first value defined will become the first column heading and the second value defined will
become the report column heading. By entering a value less than four characters long, you can
use the TAB key to move to the next 'VALUES'field.
Data elements that have no data in them, use the word 'BLNK' as a column data element value.
In our sample Milestone report, the various values you specified as column headings are
presented on the report found in AFS. These values are arrayed under the data element name
for the acronym you entered in the 'COLUMNS' field.
There are as many as ten lines of column element value specifications that can be entered on
any ADHOC Report Output Elements - Milestone Screen, with a maximum of 99 output elements
per criteria set. After entering the data element on the tenth line, press the key, and the
system will automati cally present you with a blank ADHOC Report O utput Elements - Mil estone
Screen, where you can continue to enter the data elements as long as you don't exceed the
maxim um report width. Unlike other types of Ad Hoc reports, the ADHOC Report O utput
Elements - Milestone Screen does not present you with a tally of total report widths. You must
make sure that you do not exceed the 132 character width I imitati on, or your report will not be
processed.
After your Milestone report is processed, the Milestone software will compare the data element
values specified in the combination of the 'COLUMN' and 'VALUE'fields with the values
available for your 'ROWS' data element. This process will also count the number of
occurrences.
Subtotal On:
Your output may be subtotaled by entering a data element in the 'SUBTOTAL ON:' field. This
field is not mandatory, although it is edit checked to make sure that you have used a valid
acronym name. Logically, this acronym must be one that can be used to subcategorize the data
element defined in the 'ROWS' field. For example, in our 'ROWS' data field, we specified the
use of the AFS State ID Numbers. If we select County ID as a subtotal element ('CNTY'), the
'ROWS' data element would be subtotaled by county under each state. The subtotal data
element, therefore, automatically becomes part of the Milestone Data Selection and Output
Criteria.
Source Data Output Screen
The ADHOC Report Output Elements - Source Data Screen will allow you to select Source Data
Reports by AFS data levels. AFS data are divided into four levels:
1. Plant: Data pertaining to the entire facility; including name, address, plant compliance,
classification, plant actions, and comments.
2. Stack: Data pertaining to stacks located within the facility; including stack descriptive,
emissions, and comment data.
3. Point: Data pertaining to points within the facility; including point descriptive, compliance,
pollutant emissions, actions, and comment data.
4. Segment: Data pertaining to segments associated with merged compliance and emissions
points within the facility; including segment source classification codes, descriptions, and
comment data.
A review of the data found in the four levels of AFS will determine that certain information,

consolidates into record types, can occur at one or more data level. For example, AFS allows
you to track actions taken against the plant as a whole, as well as actions taken against specific
points within a plant. The ADHOC Report Output Elements - Source Data Screen, allows you to
specify one or more levels of AFS data to be displayed on your source data report, as well as
certain record types of interest to the compliance community.
The criteria set name and title developed in previous screens are automatically displayed at the
top of the ADHOC Report Output Elements - Source Data Screen. This Source Data Output
Screen provides two areas of selection:
1. Level Selection: Plant, Stack, Point, and/or Segment
2. Record Selection: Actions, Comments, Continuous Emissions Monitoring (CEMSS),
and/or Compliance History
Figure 2-15 presents a sample ADHOC Report Output Elements - Source Data Screen. Users
indicate the level(s) of data they wish to output by typing a 'Y' (Yes) in the space to the right of
the level name. Upon presentation, the screen will display default values of "N" (No) in both the
level and record selection data fields. You must input at least one level with a 'Y' (Yes) or an
error message will appear. There is no mandatory requirements for the entry of a 'Y' (Yes) in the
record fields.

2.7.1.4 ADHOC Report Sort Elements Screen
Once you have entered the report output criteria on the ADHOC Report Output Elements
Screen, the ADHOC Report Sort Elements Screen, shown in Figure 2-17 will appear. You may
then specify a sort sequence for the plants that will appear on your report. The ADHOC Report
Sort Elements Screen applies to the ADHOC, Source Data and Non-Formatted reports. It does
not appear in the screens associated with the development of the Milestone reports.

Unlike other Ad Hoc Criteria Set Screens, there are no mandatory data required for the ADHOC
Report Sort Elements Screen. In fact you may leave it blank, press the key, and the
system will take you to the next criteria set screen. If you do not specify the sort elements, the
Ad Hoc software will provide a default sort order for the plants on your report. The default sort
order is geographically and numerically-based. Plants are sorted and presented based on
common geographical groupings. For example, if your selection criteria only specifies your
plants to be within one EPA Region, the default sort order will group them by state, then by
counties within that state, and in ascending numeric order by plant ID within that county. For a
Non-Formatted report, the data elements identified in the Sort Selection will appear in the first
position of each line of data, followed by the data elements identified in the Output Selection. If
the Sort data elements and Output data elements are the same, the same data will be presented
twice on the same line. Users can eliminate this redundancy either by selecting different data
elements in the Non-Formatted Sort and Output Selections, or by editing the output file to delete
the sort data elements presented in the beginning of each line of data.
The criteria set name and title developed in previous screens are automatically displayed at the
top of the ADHOC Report Sort Elements Screen. Data available for input on this screen are
elements in ascending/descending order. There areas many as ten lines of sort element
specifications that can be entered on any ADHOC Report Sort Elements Screen, with a
maximum of 99 sort elements per criteria set. After a data element has been entered on the
tenth line, press the key, and the system will automatically present you with a blank
ADHOC Report Sort Elements Screen, where you can continue to enter these sort elements.
The following data fields that are available in the ADHOC Report Sort Elements Screen are:
Element
Both the identification and sort order of sorting elements is performed in the 'Element' data field.
By placing the acronym of an AFS data elem ent, you can identify it as an element that will be
used to sort the plants on your report. The order of placement for each element specifies the
sort order, the uppermost 'Element' defining the first sort grouping, and the second 'Element'
defining the second sort grouping, and so on.
After entering in the fourth character of an 'Element' field, the cursor will automatically go to the

first position of the field immediately to the right, called the 'Ascending/Descending (A/D)' order,
shown in Figure 2-17.
Only data elements found on the AFS Plant General or AFS Table General records may be
specified for the sorting of Source Data Report.
Ascending/Descending (A/D)
Associated with each sort element is a mandatory direction as to whether the sort element should
be performed in an ascending or descending order. By inputting an 'A' (ascending) in the
Ascending/Descending field, the data elements are sorted in the order of A-Z. By inputting a 'D'
(descending) in the Ascending/Descending field, the data elements are sorted in the orderof Z-
A.
The ascending order sorts fornumericfields from the lowest value to the highest value, while
descending order sorts numeric elements from the highest value to the lowest value. For data
elements that are alphanumeric, the sort order is performed against letters first, and then
numbers. In an ascending sort order for the following three plant names are: 'AAA Electrical',
'ZZZ Processing' and "IA Manufacturing'. The first plant name would be 'AAA Electrical', the
second 'ZZZ Processing', and the third "IA Manufacturing'. The ascending/descending process
described above for al phabetic and numeric is sim ilar to the sorting of al phanumerics, depending
upon whether an alphabetic or numeric character is encountered.
After entering eitheran 'A'or 'D' in the Ascending/ Descending field, the cursor will automatically
go to the first character of the 'Element' field shown in Figure 2-17.
In our 'QUICKONE' criteria set example, we will enter two sort parameters:
ELEMENT ASCENDING/DESCENDING (fiJD)

PNME D Plant Name descending
The results of these sort instructions can be seen in Attachment 1 of our sample Q1 report.
Error Messages
AFS provides error messages in response to the improper use of the ADHOC Report Sort
Elements Screen. The error messages for this screen are presented below in alphabetical order.
ENTER PLANT-GENERAL OR PLANT-TABLE ELEMENTS ONLY - Issued in response to
attempt at defining a sort order for Source Data or Total Emission reports by entering acronyms
into the 'Element' data field that does not appear on the AFS Plant-General or Plant-Table record
types.
PLEASE ENTER A VALID DATA ELEMENT NAME - Issued in response to attempt at entering
an invalid data element acronym in the 'Element' data field.
REQUESTED FUNCTION KEY NOT ALLOCATED - Issued in response to attempt at using a
PF key different than those allocated for this screen. PF keys that are valid for each screen are
displayed at the bottom of each screen.
VALUE MUST BE "A" OR "D" - Issued in response to attempt at entering a character other than
an 'A' or 'D' in the Ascending/Descending (A/D) field. Also issued in response to entering a blank
Ascending/Descending value, when a data element acronym has been entered in the 'Element'

2.7.1.5 ADHOC Report JCL Parameters Screen
After an Ad Hoc Report has been defined, you will need to define some type of Job Control
Language (JCL) instructions, on how to process your report and where to send it for printing and
storage shown in Figure 2-18. JCL data are mandatory for the establishment of an Ad Hoc
Criteria Set.
This ADHOC Report JCL Parameters Screen prepares your report to be executed. There are
numerous run parameters that need to be specified in order for the system to run your report.
These parameters can be pre-set so that you do not need to re-specify them on the ADHOC
Report JCL Parameters Screen each time you need to run a report. If you initialize the JCL
parameters to the system, they will appear on this screen as shown in Figure 2-18. The initialized
values are shown in the DEFAULT column. They are also repeated in the middle column after
the parameter name. You are al lowed to update any field in the m iddle column. Any changes you
make will take effect only for one run of your report. The next time you run any report, the
Default values will be primed in the middle column.
You can initialize these parameters by choosing option 4 (Select A Utility) on the AFS Main
Menu and option 8 (User JCL Parameters) on the Utility Selection Menu. The parameter values
that you have set on this menu will be reflected on the ADHOC Report JCL Parameters Screen
for all report retrievals that you run. You may update your initial parameter values at any time.
The parameters that are presented on this screen are:

The following data elements that are available for updating the ADHOC Report JCL
Parameters Screen are:
Account Code is a mandatory data element used for the billing of computer services. Each
agency or individual with access to the NCC computer processing network has an account code,
which is typically the same code a user enters to log on the NCC network. Users with more than
one account code must make sure to use the right code when logging onto the system.

Values that are entered into the Account Code are not validated by the JCL Parameter Screen.
As a consequence, users must be very careful when entering legitimate values in this field or risk
job rejection at the time of job processing.
Fimas ID provides additional accounting information used by NCC to track the usage patterns of
NCC supported systems. AFS users should input a FIMAS ID of 'AFSCP'.
Values that are entered into the FIMAS ID are not validated by the JCL Parameter Screen. As a
consequence, users must be very careful when entering legitimate values in this field or risk job
rejection at the time of job processing.
Time (MMMM SS) - Users must specify allovrable time authorized for the processing of each Ad
Hoc Report Time is an im portant factor for many reasons, including:
Processing Schedule is the allowable time a job will run. Because NCC needs to process
requests from wide variety of systems, an Ad Hoc processing job exceeding five minutes
automatically places the job during that night's batch processing run. Processing jobs shorter
than 5 minutes will be processed usually under an hour, based on the job's length. If you
underestimate the time necessary for processing ajob, your report will not be completely
processed. If you overestimate the time necessary for processing a job, your report will be
unnecessarily relegated for a later processing time on the job queue, so be as accurate as
possible.
Job Queuing is the amount of ti me specified, coupled with the job's priority which affects when
the job will run. Jobs with shorter times generally run sooner than jobs with longer times. The
NCC-IBM User's Guide explains the all owed formats for a job ti me parameter and the effects on
job scheduling.
.Processing Costs is the NCC account where users charge the time spent processing their
requests. Depending upon the priority and time authorized for an Ad Hoc job, the expense of
this process may vary. For example, a job run during a business day is more expensive than a
job run at night.
Users may specify up to '9999' minutes and 59 seconds for processing an Ad Hoc Criteria Set,
even though this amount would be extraordinary. Typical Ad Hoc Reports require between '2'
seconds for a relatively small plant level report, and up to '100' minutes for a national retrieval
pertaining to all levels (plant, stack, point, segment) of AFS data.
Time left justifies the values placed in both the minutes and the seconds field. For example, by
placing a '55' in any consecutive space in the four digit minutes field, while leaving the other two
spaces blank will result in a value of '55' minutes being assigned to the report, regardless of
where in the four spaces the '55' is placed. Simi larly, by placi ng a '5' in either the first or second
position of the seconds field, while leaving the other space blank will result in a value of '5'
seconds being assigned to report processing.
Priority is a one-digit code that affects job scheduling and cost. Jobs with a priority code of "0"
will be processed on the weekend which follows the job submittal, jobs with a priority of '1' will be
processed during that night's batch processing run, while jobs with a priority of '2' will be
performed during that business day in which those jobs are submitted. It is important to note the
connection between priority code and authorized processing time, since a combination of time
and priority provides instructions to NCC as to when the criteria set should be processed, and
where it falls in the processing queue.
An extraordinary priority code of '5' can be requested from NCC, which will place the processing
job at the front of the NCC queue. This code can only be authorized by NCC personnel, and
should only be run under urgent circumstances. Associated with the priority code of'5', the cost
is approximately six times the cost of processing a job at a priority code of '1'.
The priority code is not mandatory for the input of the JCL Parameter Screen. It should be
noted, however, that if the priority code is left blank, a value of '2' will be saved to the priority

field. This value of '2' will be used for any job processing run against the criteria set, until the
user supplies and saves a different priority code. Since a priority code of '2' is more expensive
than a priority code of '0' or '1it is important to enter a priority code of '0' or '1', if you want to
use the less expensive processing.
Msgclass is a one-character code that specifies the output class to which JCL statements for
the job are to be written. The most common message is'A'.
Message Class is an optional data input field. A default value of 'A' is applied to all criteria sets
containing a blank Message Class Value.
Number of Copies is used to direct how many reports you want printed at a specified printer
site. The permissible values are 1 through 99.
The Number of Copies is an optional data input field. A default value of '1' is applied to all
criteria sets containing a blank Number of Copies Value.
Form Number - The default value is blanks which results in the usage of the standard form
(STD). Form Number is an optional data input field. The system generates the value of "STD" if
you leave the field blank. This is the standard paper size for your remote printer.
Room/Bin Number is a mandatory, four-character code, used by computer centers or NCC
personnel for the distribution of printed output to the appropriate location. This code will be
defined by your specific local computer center. The combination of any 4 alphanumeric
characters may be used to indicate a Room/Bin Number.
Hold Output? (Y/N) - Always specify 'Y' as remote printer locations are no longer supported by
NCC. Hold Output directions are mandatory data for the Ad Hoc JCL Screen.
Printer Site ID is a mandatory field for the completion of the JCL Parameter Screen. Specify
either 'HOLD' or 'R255'.
Output Data File may be used to create data files to be downloaded onto a personal computer
or NCC file. The Output Data Files are known as flat files', and provides the data contained in
the Ad Hoc Output, without column headings, separating spaces, or selection criteria, but
including sort elements in the first position of each data line of the output data. Data in these
files are typically used for analytical or graphic applications external to AFS such as Excel or
Access.
To create an Output Data File through an Ad Hoc Report, you must name the file on the user
JCL screen in the data field, called the 'Output Data File'. The NCC naming convention requires
you to begin with your user ID first, followed by an account code '.', and the dataset name of your
choice. The dataset name following a '.' cannot exceed eight characters in length or begin with
numbers.
Data Description File contains the criteria set used to create the output data files to be
downloaded onto a personal computer or NCC file. This information includes report format type,
title and comments, data selection, data output, sorting, and JCL Parameters that produce the
data found in the output file. When producing an Output Data File, a Data Description File must
also be created.
Attempting to (enter) a JCL Parameter Screen containing an output name and no Data
Description File name will not succeed; you will receive an error message identifying the
requirement to provide a Data Description File name. Since the output file is a 'flat file'
containing an unsegmented block of data values, the information in the Data Description File
is a necessary key for the identification and location of the output file data requi red for further
analysis.
The naming convention for the Data Description File is similar to that of the Output Data File. To
specify the creation of a Data Description File through an Ad Hoc Report, you must name the file

convention requires you to begin with your user ID first, followed by an account code and the
dataset name of your choice. The dataset name following a cannot exceed eight characters in

2.7.1.6 Save ADHOC Report Criteria Screen
Regardless of what report format type you are using, upon completing and entering the JCL
Parameter Screen, when updating a criteria set program sequence takes you to the Save
ADHOC Report Criteria Screen shown in Figure 2-19. Since the Ad HOC reports are run in a
batch processing mode, each criteria set must be saved before it's run, so that the NCC
computer will have a saved set of criteria to access, when it's time for processing. Upon
accessing the save screen, you'll note that certain assumptions have been made, as displayed in
the screen's data fields:

User ID displays the ID of the user whose criteria set will receive the save command. The Save
screen will automatically display the ID of the user who's logged onto the previous AFS session.
Although another user ID can be substituted in this field, the criteria set is saved to that user's
criteria set library.
Report Criteria Set Name displays the name of the criteria set to be saved. The Save screen
will automatically display the name of the criteria set identified in the 'Save ADHOC Report
Criteria Screen, shown in Figure 2-19.
Any criteria set can be entered in the report criteria set name field. A new name will prompt the
system to save the criteria set, and return you to the ADHOC Report Update Menu. Using an
existing report criteria set name different than the one entered in the Save ADHOC Report
Criteria Screen, the system will display a message, asking you 'This Set Exists. Do You Want To
Overwrite It?' shown in Figure 2-20. An affirmative answer of 'Y' (Yes) prompts the system to
overwrite the existing criteria set with a new one. A negative answer of 'N' (No) returns you to
the ADHOC Report Update Menu shown in Figure 2-21.

If you modify an existing criteria set, and save it under its original name, the system will not
display the question This Set Exists. Do You Want To Overwrite It?', instead it will save the
changes under the specified name and return you to the ADHOC Report Update Menu shown in
Figure 2-21.
AFS saves the most recent version of a criteria set. Consequently, multiple reports using the
same criteria will use the latest version of the criteria set, even if each report was developed with
different criteria. To create unique reports, you need to develop unique criteria set names.
Save This Criteria Set? (Y/N)
The response to 'Save This Criteria Set (Y/N)'? determines if the criteria set name will be saved
to the library of a specified user. An affirmative answer, of'Y' (Yes), prompts the system to save
the criteria set and will return you to the ADHOC Report Update Menu shown in Figure 2-21. A
negative answer of 'N' (No), will also return you to the ADHOC Report Update Menu.
In our 'QUICKONE' report example, shown in Figure 2-19, we'll enter the following Save ADHOC

2.7.1.7 ADHOC Report Submission Screen
Submitting an Ad Hoc criteria set for processing at NCC can be accomplished through the use of
eithertwo Ad Hoc menus. After building and saving a new criteria set, the AFS software will
automatically take you back to the ADHOC Report Update Menu shown in Figure 2-21, where
selecting option 8 brings you to the screen entitled 'Confirm ADHOC Report Submission
Screen" shown in Figure 2-22. You may also reach this screen by selecting option 5 (Submit a
Report Criteria Set) on the ADHOC Report Function Menu shown in Figure 2-5.
The criteria set name and format type are automatically displayed on the "Confirm ADHOC
Report Submission Screen" shown in Figure 2-22. Also displayed on this screen are the
optional titles and comments for the criteria set which have been inputted in the ADHOC
Report Setup Screen. The display fields on the report submittal confirmation screen are not
available for the userto input.
There is only one input data field on the Confirm ADHOC Report Submission Screen
entitled: 'Submit This Report Criteria Set? (Y/N):'

This field is used to submit the criteria set name displayed at the top of the screen. In our
example, the criteria set name is 'QUICKONE', shown in Figure 2-22. There are two selections
available: 'Y'(Yes) or 'N'(N).
The 'Y' (Yes) selection submits the criteria set for processing at NCC in accordance with the JCL
instructions saved with the criteria set. After typing a 'Y' (Yes), press the key, and the
report will be sent to NCC, with a window appearing, shown in Figure 2-23, confirming that the
report has been sent with the information useful in tracking and monitoring your report processing
job at NCC. The confirmation window contains the following information:
Confirmation Message is the message that is shown in Figure 2-23 that states, 'THE JOB
LCJ808 HAS BEEN SUBMITTED'. The first three characters of the code'LCJ808' is the user ID
of the person submitting the job, while the second three characters, '808', is a reference to the
AFS program number 808, which controls the submittal of an Ad Hoc Report to NCC.
Job Number is the numberassigned to your report processing job by the NCC computer. This
number is useful for tracking the job processing progress or output. For further i nformation, see
Section 3.2, 'Reviewing Your Report On-line'.
Job Status indicates the job status of the submittal. A job status of '0000' indicates that the
submittal command was successfully communicated from your location to the NCC computer. It
does not indicate that the job has been perform ed, it simply m eans that the command was
successfully sent and received. Ajob status other than '0000' indicates a problem with the
submittal. When receiving a job status other than '0000', contact the NCC User Support, who can
advise you on what the status is of your submittal.

Error Messages
AFS provides error messages in response to the improper use of the Confirm Quick
Look Report Submission Screen. The error messages for this screen are presented
below in alphabetical order.
REQUESTED FUNCTION KEY NOT ALLOCATED - Issued in response to attempt at using a PF
key different than those allocated for this screen. PF keys that are valid for each screen are
displayed at the bottom of each screen.
VALUE MUST BE "Y" OR "N"- Issued in response to attempt at entering a blank 'Save This
Criteria Set?' field, ora field containing a value other than 'Y' (Yes) or 'N' (No).
2.8 Simultaneous ADHOC and Milestone Report Generation
This volume allows the user to develop and simultaneously submit a ADHOC and Milestone type
report using the same criteria set and job submittal. To do this, first type in 'MQ' on the "ADHOC
Report Setup Screen" shown in (Section 2.7.1.1). You will automatically be taken back to the
"ADHOC Report Selection Screen" shown in (Section 2.7.1.2), fol lowed by a "ADHOC Report
Output Elements Screen and a "Milestone Report Output Screen" both shown in (Section
2.7.1.3), and lastly by a "ADHOC Report JCL Parameters Screen" shown in (Section 2.7.1.5).
When saving your criteria set, you can then submit it for processing, receiving both the ADHOC
and Milestone reports.
2.9 Altering Criteria Sets and Formats
Users can take a criteria set written for one report format type and change the format by
thoroughly eliminating the need for creating an entirely new criteria set. When the format type is
changed, AFS will present the user with the Output Screen associated with the new format. By
defining the new output and saving the criteria, the new report's complete. If you save the new

report under the old criteria set name, the old report will be lost. If both the new and old report
criteria sets are needed, save the new report under a different criteria set name.
2.10 AFS Ad Hoc Helpful Hints
Like all other computer database software, the process of the AFS Ad Hoc Report software can
be optimized when users apply a few basic techniques. Hints for the most efficient process of
the AFS Ad Hoc Reports are presented in Appendix II.

In this section we've gone through the steps necessary to develop and produce ADHOC,
Milestone, Source Data and Non-Formatted type reports. A sample page of each report is

3.0 Criteria Set Management and On-Line Report Review
AFS provides users with several options for managing their report criteria sets, such as:
selections for updating, browsing, deleting, copying, and submitting criteria sets. Users may also
view the results of their report on-line, prior to printing, through the use of SYSD, SDSF, and ISPF
data management software provided by NCC.
3.1 Report Selection Menu
By selecting option 2, entitled 'Ad Hoc Reports' on the AFS Report Selection Menu Screen
shown in Figure 3-1, the system will automatically take you to the ADHOC Report Function
Menu Screen shown in Figure 3-2. From this menu all primary activities are selected.

Section 2.7 of this volume provides detailed instructions on how to create the following reports
such as: Quick Look, Milestone, Source Data and Non-Formatted Report Criteria Sets. All of
these criteria set developments begin with selecting option 1, entitled 'Update A Report Criteria
Set', on the ADHOC Report Function Menu Screen shown in Figure 3-2.
By selecting option 1, and entering in your criteria set name, on the ADHOC Report Function

By entering either a'Y'(Yes) or'N'(No) in the 'Save This Criteria Set? (Y/N):' field, the system will
automatically take you to the ADHOC Report Update Menu shown in Figure 3-3.
Report Title, Name, and Comments
By selecting option 2, entitled 'Report Title, Name, and Comments' on the ADHOC Report
Update Menu Screen, the system will automatically take you to the Ad Hoc Report Setup
Screen shown in Figure 3-4. Section 2.7.1.1 of this volume provides the direction of operation
and edit rules of the Report Setup Screen as associated with the development of criteria sets
for the Four basic types of reports.
The AFS Ad Hoc software allows you to change only the format type of your report by keeping
the same criteria. For example, by changing a ADHOC report format type of "Q1" to a Milestone
report format type of "M1", a window will appear stating that "YOU HAVE CHANGED THE
FORMAT; THIS REQUIRES RE-ENTERING THE OUTPUT AND SORTING DATA ELEMENTS.

in the query window, and depending upon the type of format requested, the system will

It should be noted that with the exception of changes made through the use of the 'All Report

are made through the selection of individual criteria screens, do not result in users automatically
being brought to the Save ADHOC Report Criteria Screen. Consequently, making changes

This field is used to submit the report criteria name displayed at the top of the screen. By
entering a 'Y'(Yes), press the key, and the report will be sent to NCC, with a window
appearing, shown in Figure 3-22, confirming that the report has been sent and providing you with
the information useful in tracking, and monitoring your report processing job at NCC. The
confirmation window contains the following information:
Confirmation Message is the message that is shown in Figure 3-22 that states, 'THE JOB
LCJ808 HAS BEEN SUBMITTED'. The first three characters of the code'LCJ808' is the user ID
of the person submitting the job, while the second three characters, '808', is a reference to the
AFS program number 808, which controls the submittal of an Ad Hoc Report to NCC.
Job Number is the numberassigned to your report processing job by the NCC computer. This

number is useful for tracking the job processing progress or output. For further i nformation, see
Section 3.2, 'Reviewing Your Report On-line'.
Job Status indicates the job status of the submittal. A job status of '0000' indicates that the
submittal command was successfully communicated from your location to the NCC computer. It
does not indicate that the job has been perform ed, it simply m eans that the command was
successfully sent and received. Ajob status other than '0000' indicates a problem with the
submittal. When receiving a job status other than '0000', contact the NCC User Support, who can
advise you on what the status is of your submittal.

4.0 Batch Job Validation Procedures
When you send an Ad Hoc report to the printer or to a workfile on the Report Destination screen
(Section 2.7.1.5) you are requesting your report to be run as a batch job. This section explains
how to read batch job output, how to determine when a batch job has executed, and howto
determine if a batch job has completed its function successfully.
There are no facilities within AIRS/AFS for monitoring the status of batch jobs you submit. The
National Computer Center (NCC) provides several facilities, or "processors", that you can use to
check the status of batch jobsand to view theoutput before it is printed. The processor that is
described in this section is known as SYSD.
4.1 Checking Batch Job Printed Output
The primary means of determining whether a batch job executed successfully, and whether it did
what you wanted it to, is the printed output of the job. One of the first things you can check is the
"JES2 job log", which is printed at the beginning of the output of all batch jobs. The format of the
job log varies somewhat depending on whether the job ran successfully or not. If it did not run
successfully the format can vary depending on the type of error and its cause.
An example of a job log of a successful job is shown in Figure 4-1. The condition code for this job
is "0" which means that the job ran successfully and produced the requested output. You can
determine the condition code by looking at the messages and locating the phrase "RC=0".

If the job did not run successfully, you might seethe word "abend" or a non-zero condition code.
Figure 4-2 shows an example of a "S322" error. This error is a common one and is caused by not
allocating enough time forthe job to run. This problem is easily corrected by providing more time
for the job using the Time parameter on the ADHOC Report JCL Parameters Screen (Section
2.7.1.5). In the example shown, you can see that "ABEND" occurred twice in the messages. You
can tell what kind of abend it was by the phrase, "ABEND=S322", that appears in the messages.

Another error that you might receive is a "JCL" error. The phrase "JCL ERROR" will appear in the
messages as shown in Figure 4-3.
In order to determine what the error was, you will need to read the JCL statements and messages
that appear on the subsequent pages of your job output after the JES2 job log.
A common cause for a JCL error is specifying an invalid format for a dataset name for a workfile.
Using the example shown in Figure 4-4, the error is determined by going directly to the "STMT
NO. MESSAGE". The information will provide a clue. The message shown for Statements 5, 15,
36, and 46 can always be ignored. The messages for Statement 27 and Statement 53 are the
identical and pinpoint your problem. The message reads "FIRST CHARACTER OF NAME NOT
ALPHABETIC OR NOT NATIONAL IN THE DSNAME FIELD". This means that your workfile
(DSNAME is dataset name) was specified incorrectly with invalid characters. If you go up in the
listing to JCL Statement 27 you will see that the dataset name (DSN) was specified as
"GDASEIS.WORKFIL1.". This is an invalid format; dataset names should not end in a The
solution is to re-specify the workfile name on the ADHOC Report JCL Parameters Screen and
resubmit the job.
If your job appears to have been successful, but no report is produced (or if the report doesn't look
as expected — less data or more than there "should be"), check your report selection and sort
criteria to see if you might have incorrectly specified something.
